Provider Directory & Patient Leads

Get listed in the Oto provider directory and capture potential patients

The Oto Provider Directory helps patients find healthcare providers who offer tinnitus support in their area. When patients discover your practice and register their interest, they become leads in your dashboard — ready for you to follow up and convert into patients.

Getting Listed

To appear in the provider directory, an organisation admin must create at least one location in your organisation settings.

Step 1: Access Location Settings

In the Provider Dashboard, navigate to Settings → Locations.

Step 2: Add a Location

Click "Add Location" and enter your practice details:

  • Location Name - The name patients will see (e.g., "Downtown Audiology Clinic")

  • Address - Your full practice address for map display

  • Phone Number - Contact number for patient enquiries

  • Contact Email - Email address for lead notifications (optional)

Step 3: Enable Directory Listing

Toggle "Show in Provider Directory" to make your location visible to patients searching in your area.

What Patients See

When patients search the directory, they see:

  • Your organisation name and logo

  • Location name and address

  • Distance from their current location

  • Your listed clinicians

Patients can tap on your listing to view full details, including your website and phone number.

Multiple Locations

If your organisation has multiple practice locations, you can add each one separately. Each location:

  • Appears as a separate listing in the directory

  • Can have its own contact details and clinicians

  • Can be individually enabled or disabled from the directory

Leads are tagged with the specific location they registered through, so you can route them to the appropriate office.

Receiving Leads

When a patient registers interest through your directory listing:

  1. They create an Oto account linked to your practice

  2. A new lead appears in your Leads tab

  3. You receive their contact details and qualifying information

  4. You can reach out to schedule a consultation

Qualifying Information

During registration, patients answer brief qualifying questions to help you prioritise follow-up:

  • Hearing Loss - Whether they have known or diagnosed hearing loss

  • Hearing Aids - Whether they currently use hearing aids

  • Tinnitus Duration - How long they've experienced tinnitus

This information appears in the lead details panel, helping you identify patients who may benefit most from a consultation.

Managing Leads

New leads appear in your Leads tab. From there you can:

  • View lead contact details and qualifying information

  • Filter leads by location and status

  • Track TFI assessment scores for leads who complete assessments

  • Convert leads to patients when they schedule an appointment

Converting Leads to Patients

When a lead schedules an appointment and becomes a patient:

  1. Open the lead's details panel

  2. Click "Issue License" to create their Oto prescription

  3. The lead status automatically changes to "Converted"

  4. They now appear in your Patients tab with full access to Oto

Best Practices

To attract patients and maximise conversions:

  • Add your organisation logo - Logos make listings more recognisable and professional

  • Keep contact details current - Ensure phone numbers and emails are monitored

  • List your clinicians - Assign clinicians to locations so patients can see who they might work with

  • Respond quickly - Leads who register are actively seeking help. Quick follow-up increases conversion rates.

  • Use qualifying data - Prioritise leads with longer tinnitus duration or existing hearing aid use, as they may be more motivated.

  • Track TFI scores - Leads who complete TFI assessments in the app give you valuable insight before their first appointment.

Requirements

To manage locations and directory settings, you must be an organisation admin. If you don't see the Settings menu or Locations option, contact your organisation admin to request access or have them set up your location.
