You can invite new team members to your Provider Dashboard from Settings → Team. This article covers who can invite, what to set on the invite, and how clinician seats work against your plan.
Inviting a Team Member
Only an organisation owner can invite team members — inviting creates dashboard access, so it's reserved for owners. If you're not an owner, ask one to send the invite.
Go to Settings → Team
Click Invite team member
Enter their first name, last name, and email address
Choose whether they're a clinician (see below)
Tick the permissions they need — new invites start with none, so you grant exactly what their role requires (see the Team Permissions article)
Send the invite
The new team member receives a welcome email with a temporary password for the dashboard — they sign in at pro.joinoto.com, and can set their own password using "Forgot password" on the login page.
One thing to know: each provider account belongs to one organisation. If the email address is already registered with another organisation, the invite won't go through — message us and we'll help.
Clinician vs Non-Clinician
The Clinician toggle on the invite controls three things. A clinician:
Can be assigned to patients as their treating clinician
Counts as a billable seat on plans with seat limits
Is eligible to appear in the public provider directory
Front desk staff, practice managers, and billing admins should be added as non-clinicians — they get full dashboard access according to their permissions, they just aren't assignable to patients and don't use a seat.
Clinician status is separate from permissions — a non-clinician can still manage patients, leads, or billing if you grant those permissions.
Seats and Plan Limits
How seats work depends on your plan:
Subscription plans include a set number of clinician seats (shown as "Provider Seats" in Settings → Billing). Once every seat is filled, adding another clinician shows "Clinician seat limit reached" — contact us to add seats to your plan. Non-clinician team members are unlimited.
Pay-as-you-go and prepaid plans have no seat limits — you're billed per patient license, not per team member, so you can add as many clinicians and staff as you need.
Removing a Team Member
To remove someone who's left your practice — or to transfer their patients to another clinician — message us through the chat bubble and we'll take care of it.
